Who we are and what this policy covers

Little Biome is a telehealth naturopathy practice based in Melbourne, Victoria, operated by Jessica Kramer as a sole trader (ABN 90 648 438 240). We provide naturopathic and nutritional consultations to clients worldwide, excluding the United States and Canada.

This policy explains what personal information Little Biome collects, why we collect it, how it is stored, and how you can access, correct, or ask questions about it. It applies to information collected through our website, intake form, and consultations.

Information we collect

We collect the personal and health information you provide when you complete our intake form, book a consultation, or communicate with us. This may include:

  • Contact details: name, address, phone number, and email

  • Date of birth

  • Gender

  • Emergency contact details

  • Health information: diagnosed conditions, current symptoms, medications and supplements, allergies, birth and early life history, and diet and lifestyle information

  • Details of your GP or other treating practitioners

  • Any documents you upload, such as functional pathology or blood test results

  • Payment information, collected and processed securely by our payment provider

Where a consultation is completed on behalf of a child, we collect the above information about the child, along with the parent or guardian's contact details.

Cookies and website analytics

Our website may use cookies and similar technologies to help it function properly and to understand how visitors use the site, for example through basic analytics tools. This is separate from the health information you provide through our intake form or consultations. You can control or disable cookies through your browser settings, though this may affect how our website functions.

Why we collect and use your information

We use your information to provide naturopathic and nutritional care, including assessing your health, developing treatment recommendations, and following up on your progress. We also use it to manage bookings, process payments, and communicate with you about your care.

We do not use identifiable health information for marketing without your separate consent. We may share de-identified case studies, for example on social media, where identifying details have been removed or changed so that you could not reasonably be recognised.

Who we may share your information with

We only share your information where necessary to provide your care, or where required by law. This may include:

  • SimpleClinic, our practice management software, used to store your clinical records

  • Product dispensing websites, used to fulfil any supplement or product recommendations

  • Stripe, our payment processor, for processing consultation and product payments

  • Pathology and functional testing laboratories, if you choose to complete testing as part of your care

  • Your GP or other treating practitioners, but only with your consent, or where necessary for your safety

We do not sell your personal information to third parties.

How we store and secure your information

Your information is stored securely within SimpleClinic and related third party platforms used to run our practice. We take reasonable steps to protect your information from misuse, loss, and unauthorised access, including the use of secure, password protected systems.

Some of the platforms we use may store information on servers located overseas. For example, our payment processor Stripe transfers data to the United States as part of its global infrastructure. Where this occurs, we take reasonable steps to ensure your information continues to be handled in line with Australian privacy law.

How long we keep your information

As a health service provider, we are required to retain your health records for a minimum period. In Victoria, this is generally at least 7 years from your last consultation with us, or, if you were a minor when you received care, until you turn 25. We keep information for this minimum period even if you stop being an active client.

Accessing or correcting your information, and complaints

You can ask to access or correct the personal information we hold about you at any time by contacting us using the details below. We will respond within a reasonable timeframe.

If you have a concern about how your information has been handled, please contact us first so we can address it directly. If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Contact and updates to this policy

If you have any questions about this policy or how your information is handled, contact us at hello@little-biome.com.

We may update this policy from time to time. The current version will always be available on our website, with the date it was last updated shown at the top of this page.

I acknowledge the Wurundjeri Woi Wurrung and Bunurong peoples of the Kulin Nation as the traditional owners and custodians of the land on which I live, work and play, and recognise their continuing connection to the land, sea and community. I acknowledge that this land was stolen, and that sovereignty has never been ceded.
